QuickBooks is great. Until it isn't.

QuickBooks Online or Desktop is the default backbone for almost every small contractor — and it works for invoicing, AP, bank reconciliation, and the bookkeeper. Where it stops: job costing by phase, WIP across projects, AIA pay apps, takeoff, field operations. The choice you actually have is whether to bolt those on or move to a system that has them natively.

QuickBooks does the books. Not the construction business.

QuickBooks Online and QuickBooks Desktop were built for general small business — service companies, retail, professional services. The accounting is solid, the bookkeeper is comfortable in it, and it integrates with everything. But the specifically-construction parts are weak or missing entirely, and that's where most subs eventually feel the wall.

GAP 01

Job costing by phase isn't really there.

QuickBooks has "classes" and "projects" but the construction-specific job cost rollup — budgeted vs. actual by phase, committed costs from POs, in-process billing — has to be reconstructed in spreadsheets. Real-time WIP across a portfolio of jobs isn't a thing in QB.

GAP 02

No AIA pay apps without an add-on.

G702/G703 with schedule of values, retainage tracking, stored materials, lien waivers — none of this lives in QuickBooks. You either bolt on a $200/mo tool like TextureBuild or hand-build the pay app in Excel each draw.

GAP 03

Field-to-back-office handoff is manual.

Takeoff lives in STACK or PlanSwift. Time tracking lives in busybusy or Workyard. The estimate lives in a spreadsheet. None of it talks to QuickBooks directly — the bookkeeper retypes hours, re-codes labor, re-keys invoices. Every handoff is a chance for drift.

Sync to QuickBooks, or replace it.

Most of our customers do one of two things: keep QuickBooks because the bookkeeper insists, and let Leviathan Built sync to it; or move accounting onto Leviathan Built entirely and retire the QuickBooks subscription. Both work. The right choice depends on whose preferences matter most.

What "QuickBooks for construction" usually means.

If you've searched "QuickBooks construction integration," you've probably hit one of these five options. Each makes a different trade-off between effort, cost, and how integrated the result actually is.

Common questions about QuickBooks + construction

Do I have to give up QuickBooks?

No. Leviathan Built can sync invoices, journal entries, AIA pay-app billings, and job-cost actuals back to QuickBooks. If your bookkeeper or CPA prefers to stay in QB, that's fully supported. About a third of our customers run this way long-term.

Why would I move accounting off QuickBooks then?

Three reasons people switch fully: (1) the bookkeeper is open to it and likes that everything is in one place, (2) the QuickBooks subscription is one more bill to track, and (3) WIP and job costing in real time across all projects requires the GL to be connected to the construction data natively — sync introduces a lag.

What's the difference between Leviathan Built's accounting and Foundation Software?

Foundation is mature construction accounting, but it's accounting in isolation — you still need separate takeoff, PM, field, and CRM tools alongside. Leviathan Built's accounting is part of the same platform, so a labor hour in the field flows to a job cost in accounting to a WIP entry to an invoice automatically. No re-keying.

Does the QuickBooks sync work with QuickBooks Online or QuickBooks Desktop?

Both. QuickBooks Online uses the official API and syncs in near-real-time. QuickBooks Desktop syncs through the Web Connector, on a scheduled push. Either is fine — most newer customers are on QBO.

What about my chart of accounts? Will it have to change?

No. The sync maps Leviathan Built's GL accounts to your existing QuickBooks chart of accounts during onboarding. Your bookkeeper keeps the structure she's used to. If you're replacing QB entirely, we import your chart of accounts directly.

How does AIA billing connect to QuickBooks?

When you submit a pay app, Leviathan Built generates the journal entries — accounts receivable for the billing, contra entries for retainage held — and syncs them to QuickBooks. The G702 and G703 PDFs live in Leviathan Built; the financial side flows to QB. See the AIA billing page for the full workflow.

Can I sync from QuickBooks back into Leviathan Built (vendor invoices, etc.)?

Yes — vendor invoices, bills, and payments flow back so the job-cost data stays accurate. The full sync is bidirectional on the entities that matter for job costing.

Is QuickBooks integration on every plan?

QuickBooks sync is included starting on the Standard plan ($2,500/mo). The Basic plan ($1,500/mo) is for smaller operators who typically don't have the complexity that requires the sync. See full pricing for details.
